Role Overview

We're looking for a Project Manager to lead an in-house custom software project in the travel / hospitality industry — from defining requirements and scoping the system, through selecting the development vendor, to managing build, migration, integrations, testing, rollout, and vendor accountability.

Responsibilities

  • Document current processes and requirements, working alongside an external process-mapping and automation partner.
  • Identify which processes are shared and which must remain distinct across business units.
  • Prepare the RFP, collect and compare at least three vendor offers, and select the project contractor.
  • Negotiate the contract, including safeguards: code ownership, acceptance criteria, staged payments.
  • Manage the schedule and budget, and report deviations.
  • Run a formal change-request procedure — every change quantified for time and cost impact.
  • Keep leadership and the team informed on how requested changes affect budget and timeline.
  • Coordinate the internal team's work.
  • Sign off on project stages against pre-agreed acceptance criteria.
  • Manage change and user adoption.
  • Document the solution.
  • Hybrid work with regular, at least partial, presence at the Kołobrzeg office.

Requirements

  • At least 2–3 implementations of a booking-class or ERP system led in-house (on the business side), not as a vendor — ideally solutions designed around the organization's own processes, not just off-the-shelf ERP rollouts.
  • Experience replacing a legacy system with poor data quality — able to plan data analysis, deduplication, cleanup, partial migration, historical data archiving, and a controlled cutover.
  • Independent experience running a vendor selection process: preparing an RFP, comparing offers and approaches, assessing the vendor's team, and negotiating a development contract.
  • Experience breaking a large system into phases, modules, and priorities, and defining an MVP that delivers business value.
  • Comfortable talking directly with operational teams and drawing out how work actually happens, not how it's assumed to happen.
  • Documented experience running a change-control procedure on a project lasting more than a year (not just short, few-month implementations).
  • Experience protecting the company's interests in a custom software project: source code rights, documentation, repository and infrastructure access, API access, acceptance criteria, warranties, SLAs, and the ability to switch vendors.

Nice to have

  • Experience with IT projects requiring integration with multiple external parties — understanding why integrations slip and how to schedule around that.
  • Familiarity with the travel, hospitality, or inbound B2B tourism industry (concepts like allotment, release, stop sale, purchase/sale price, margin).
  • Experience working directly with a founder-owner, not only within a corporate structure.
  • Good communication skills in German or English.
  • Experience managing organizational change and user resistance.
